Submitting a PhD thesis
Submission of a doctoral thesis occurs in two steps: Step 1: The first submission (for the evaluation committee) should include 5 simple bound copies of the thesis which can be delivered to the institute. Two of these should go to the Department of Academic Affairs and can be delivered directly there or forwarded by the institute.
If your thesis consists of several co-authored articles, you must include signed
Authorship Declarations when submitting the 5 copies. You must also fill in and deliver a
Submission Declaration with the 5 copies, in which you confirm that you have submitted to your department transcripts for any external courses (courses taken outside of UMB) included in your academic training. On this form you also inform us whether, upon a succeessful defence, you would like to collect your PhD certificate at the Department of Academic Affairs (Cirkus, ground floor, room 113) before you leave UMB/Norway or have it sent by mail to a certain address.
Doctoral theses should be marked with ISBN, ISSN and Thesis numbers – these numbers will be used for both printed versions of the thesis. You can request your ISBN, ISSN and Thesis numbers by contacting

Step 2: The second step is the submission of the approved thesis bound at the printers. When submitting the final version of the approved thesis, 12 copies should be delivered to the Department of Academic Affairs and one to your institute (for the library). The copies delivered to the Department of Academic Affairs will be distributed to the University Library at UMB, The National Library of Norway, libraries at the land use universities in Sweden, Denmark and Finland and CAB International in the United Kingdom.
The cover for the approved thesis should be prepared by the Department of Communication, in accordance with UMB’s official template.
Contact the Department of Communication before you send the final version of the thesis to the printers. Send an email to
Berit Hopland with:
- Name
- Thesis title in English and Norwegian (Use capital/lower case letters and
cursive when required)
- Thesis number
- ISSN and ISBN number
- Your department name in English
- Date for the logo
- Breadth of the spine, how many sheets (1 sheet = 2 pages) are in the thesis and remember to add in the separation sheets
If you will have another logo on the back cover (than UMB’s), send the logo in a high resolution file format (.jpeg, .tif or .eps) with the institution’s address.
You will receive a pdf-file for the cover which can be sent directly to the printers.
Printing Instructions when using Follo Trykk If possible, please submit ONE pdf-file of the thesis, not multiple files which need to be put together. The cover should be sent separately as its own pdf-file. The size of UMB dissertations is 17 x 24 cm. The margins of the Word document you are working with should be the same as the final pdf-file submitted for printing. If this poses difficulties, you can use regular A4 size (21x29,7 cm). If you choose to do so, the document will be down-sized to fit the 17x24 format, including all tables, graphs and photos.
ALL pages should be included in the final pdf-file. Many dissertations have extra pages between sections. These have text on one side and are blank on the other side. The side with text should be on the right-hand side, the blank side on the left. Right-hand pages are oddnumbered, and left-hand pages are even-numbered.
Once ready, the document should be converted into a pdf -file. In the pdf option on your computer, choose ”Print quality”/ ”Pressoptimized”. Never use ”Screen”, ”Print” or ”High resolution”. The fonts should be included in the pdf -file. This happens automatically in newer Acrobat versions, but in the old ones use ”Distiller” and click on ”Embedd all fonts” or ”Include all fonts”.
To choose the correct options before converting Word to pdf, do the following:
-Choose ”Print”.
-Choose ”ADOBE PDF” on Printer Choice
-Choose ”Properties”.
-Choose ”ADOBE PDF Settings”.
-Choose ”Press Quality” on ”Default Settings”.
PLEASE NOTE THAT ”Do Not Send Fonts to ADOBE PDF” has to be turned off.
Once this is done the document can be converted to pdf.
